Best Contractor Progress Billing Software
Contractor progress billing software should preserve the agreed schedule of values, prior applications, current work, approved changes and retainage. A payment schedule that asks for a deposit and a final balance is not automatically the same thing as a progress application required by a general contractor or lender.
Knowify, Buildertrend and JobTread are credible starting points with different emphasis. Shortlist Knowify when detailed pay applications and retainage are central. Evaluate Buildertrend when progress invoicing needs to sit inside broader construction management. Consider JobTread when the primary need is invoicing through the job’s agreed payment stages, while verifying any formal pay-application requirements separately.
This is a research-based comparison of official product information checked on 22 October 2026. No payment applications were submitted, no accounting integrations were tested and no product performance is independently measured here.
Define the document the customer actually accepts
Before comparing features, obtain an anonymized example of the required billing package. Identify whether the customer needs an ordinary invoice, a schedule-of-values progress invoice, official AIA forms or an AIA-style document. Those requirements should not be treated as interchangeable.
Also document the billing period, prior certified amount, stored-material treatment, retainage and change-order rules. The software should distinguish the work the contractor believes is complete from the amount approved by the customer. Otherwise the next application can start from the wrong opening balance.
| Product | Relevant documented capability | Selection qualification |
|---|---|---|
| Knowify | G702/G703 pay applications, schedule of values, stored materials and retainage | Confirm the required official forms, accounting setup and contract configuration |
| Buildertrend | Progress invoicing using a schedule of values drawn from the estimate | Distinguish progress invoices, ordinary payment schedules and package availability |
| JobTread | Progress invoicing with customizable payment schedules | Demonstrate formal forms and retainage if the customer requires them |
Knowify: start with the pay application
Knowify describes generating G702/G703 pay applications, handling schedules of values, stored materials, approved change orders and retainage. Its official material distinguishes branded AIA documents through its AIA Contract Documents partnership.
That makes it a direct candidate for trade contractors whose customers reject incomplete pay-application packages. Ask the evaluator to produce the exact documents your customer requests, including a change order approved during the billing period.
Then inspect the relationship with QuickBooks. Knowify describes synchronization of pay-application and retainage information, but your acceptance work still needs to establish the accounts, transaction states and corrections in the intended setup. A successful connection is not proof that the resulting receivable is coded correctly.
Avoid treating financing offered through a partner as part of the basic billing functionality. Any advance has separate eligibility and commercial terms. It is not necessary to use financing to evaluate whether the software produces the right document.
Buildertrend: distinguish the progress invoice from the payment schedule
Buildertrend’s invoice documentation describes progress invoicing for bank-funded and commercial projects, with the schedule of values coming from the estimate. It separately describes payment schedules and ordinary invoice administration.
This distinction is useful when a contractor already wants project management and customer communication in the same environment. Ask the demonstration team to create a progress invoice, not just a list of milestone payments. Inspect the exported package that would be sent to the lender or general contractor.
Buildertrend also describes AIA-style progress invoicing. Do not describe that as an official licensed AIA form unless the proposed product and documents establish it. The customer’s acceptance requirements should decide which output is suitable.
Have the evaluator revise the estimate after the first application. The team needs to understand how approved changes affect the schedule of values and whether historical applications remain reproducible. A new total is not enough if the prior-period evidence disappears.
JobTread: evaluate the agreed progress schedule
JobTread documents converting estimates into invoices and customizing payment schedules as work progresses. That makes it relevant for contractors whose primary gap is timely, consistent progress invoicing tied to the job.
The purchasing qualification is the complexity of the customer requirement. Ask the supplier to demonstrate retainage, stored materials and any required pay-application forms rather than inferring them from the phrase progress invoicing. If those functions are outside scope, keep that limitation visible in the shortlist.
JobTread can still be a sensible choice when a simpler billing model fits. A contractor should not buy a complicated application process merely to send ordinary staged invoices. Conversely, a tool that produces attractive invoices is not sufficient when a customer requires a formal application and supporting documents.
Test revisions and exceptions before choosing
Use one synthetic project with an agreed schedule of values and two billing periods. Add a change order that is approved, one still pending and one rejected. Record work completed and stored materials separately. Ask each supplier to produce the next application from the prior accepted balance.
Then change an amount after customer review. Inspect whether the software retains the submitted version, the revised version and the reason. The accounting owner should be able to reconcile the final receivable with the approved application without reconstructing it from email attachments.
Retainage deserves its own scenario. Ask how held amounts appear during the job and how they are released later. A final invoice should not quietly duplicate revenue or leave a retained balance stranded because the payment schedule is marked complete.
Commercial scope and rollout
Compare the exact users, job volumes, document functions, accounting integration, implementation and support in the proposals. Do not assume a feature shown in a sales demonstration is included in the lowest advertised tier.
Begin migration with active projects whose opening balances can be reconciled. Importing the original estimate without prior applications can make the first new application wrong even if all line items are present. Keep the old records available under the organization’s retention policy until the new opening state is accepted.
For adjacent decisions, see contractor estimating software and painting contractor software. Estimating owns the proposed job price; this guide owns the later progress-billing decision.
FAQ
Is a milestone invoice a progress application?
Not necessarily. The customer may require a schedule of values, prior-period amounts, retainage and specific forms beyond an ordinary invoice.
Are AIA-style and official AIA forms the same?
Do not assume that. Confirm the actual document and licensing requirements with the customer and software supplier.
Should pending change orders enter the current application?
Follow the contract and approval policy. The software should distinguish pending work from approved changes rather than silently adding everything to the bill.
Does accounting synchronization eliminate reconciliation?
No. Verify the resulting amounts, accounts and states, especially for retainage and corrected applications.
Which product is the safest starting point?
Choose the one that can reproduce the customer’s accepted billing package using your actual contract structure. That is more useful than a generic best-overall ranking.
