Start with the job: capture a meeting, organize research or retrieve knowledge. Transcription, note search and mind mapping are not interchangeable. The existing Notion, Otter, Mem, Reflect and Granola order is retained for continuity, not as an accuracy ranking.

1. Notion AI — a shared knowledge workspace

Notion’s current plans include AI Meeting Notes in Business packaging; AI is not accurately described as a universal $10 add-on to any plan. Free/Plus AI trials and paid workspace entitlements differ.

Buyer fit: existing Notion documents, projects and team knowledge. Check seats, meeting-note availability and regional billing. Do not buy a workspace solely on an assumed transcription allowance. See our Notion pricing guide.

2. Otter — meeting capture and follow-up

Otter plans distinguish recording/transcription allowances and collaboration features.

Buyer fit: meetings where transcript capture and review are the primary need. Confirm supported meeting integrations, language, import limits, retention and administrative controls in the selected plan. Do not assume every recording integration automatically joins every meeting.

3. Mem — a knowledge-management candidate with verification limits

The current Mem site was browser-gated during this check. We could not reliably verify its current plan prices or detailed integration scope, so the old $8/$15 figures and integration promises are withdrawn.

Buyer fit to verify before purchase: whether its current note organization and retrieval workflow suits your research. Keep Mem in the original shortlist, but request current product and billing details rather than treating historical capabilities as confirmed.

4. Reflect — distinguish the current app from Classic

Reflect now describes an open-source app with local Markdown files, daily notes and backlinks. The Mac app is free; iPhone/iPad pricing is in the local App Store. Optional AI uses your own provider key and separate provider billing. Reflect Classic remains a separate maintained product.

Buyer fit: networked personal notes with control of local files. Local storage does not mean every optional AI operation stays on-device. The old blanket $10/month description does not cover this packaging.

5. Granola — enhance your own meeting notes

Granola’s plans distinguish Basic, Business and Enterprise. Its help documentation discusses desktop macOS/Windows and iPhone notes, so the earlier Mac-only claim is no longer supportable.

Buyer fit: combining rough human notes with meeting context. Bot-free capture is not permission to record silently, nor proof of exclusively local processing. Verify device support, retention, sharing and team controls.

HyNote: mixed audio and research inputs

HyNote describes audio capture, transcription, PDFs, web content and note organization. The pricing page lists a Free option and paid tiers. Pro is displayed as $6.66/month equivalent with $79.99 annual billing and 1,200 transcription minutes/month; that is not a month-to-month quote or unlimited capture.

Evaluate HyNote for organizing audio and document-based research notes if those inputs are your actual workload. Check session limits and the selected tier before purchasing.

xTiles: visual notes and planning

xTiles’ current plans distinguish Free, Plus and Pro, with workspace, upload and AI allowances. It is a visual organization/planning option, not evidence of a substitute for meeting transcription.

Evaluate xTiles for visually organizing notes, projects and follow-up tasks when organizing captured knowledge is the buyer job.

Recording and verification checklist

Obtain the consent and organizational authorization required for the participants, location and content before capture. Check where data is processed, training settings, retention, deletion and who can access summaries. Do not assume a vendor offers the contract or compliance scope your organization requires.
