1. Otter: meeting capture

Evaluate Otter for recurring meetings and searchable notes. Its current pricing page lists a 300-minute free monthly allowance; paid recording/import rules differ. Check the selected plan and checkout rather than assuming all headline prices use the same billing term.

2. Fireflies: meetings linked to CRM work

Evaluate Fireflies when authorized meeting notes need to enter the team’s CRM workflow. Official plans distinguish free storage, paid integration access and higher-tier analysis. Confirm the exact CRM connection rather than assuming every integration requires Business.

3. Rev: AI and human services are different products

Rev pricing, checked October 1, 2026, lists AI subscription allowances and human transcription at $1.99/minute. The former $0.02 AI / $0.07 human figures were incorrect and have been removed.

Rev advertises a human accuracy guarantee; that is a vendor claim subject to service terms, not our measured result or assurance of suitability for a legal proceeding. Confirm turnaround, formatting, confidentiality and review requirements. An API does not imply self-hosted processing.

4. Descript: media editing

Shortlist Descript when transcript editing belongs to a podcast or video production workflow, rather than just a meeting archive. Descript’s pricing and feature matrix is the authority for current plan names, media hours and AI credits; the old Pro label and fixed $24–33 range have been removed.

5. Trint: editorial collaboration

Trint remains a candidate for editorial transcript workflows. Its current price could not be reliably retrieved in this check; the stale $52 Starter figure and unsupported language/accuracy superiority are removed. Obtain a current Trint plan or quote before budgeting.

HappyScribe: subtitles and translation

Evaluate HappyScribe when transcripts also need subtitle or translation outputs. Separate automated usage from human service and validate formats with a representative file. HappyScribe pricing is the direct evidence; an old minute allowance is not a current entitlement.

Accuracy, security and cost

Review names, numbers, speakers and quotations against audio before publication. Poor audio and overlapping speakers can affect any system; no universal 90–98% tier is justified.

For confidential recordings, evaluate the current security documentation, processing agreement, region, retention and access controls for the selected plan. Do not equate “Business” with SOC 2 eligibility, medical suitability or self-hosting.

Subscription versus usage pricing depends on included minutes, seat count, overages and human review. No universal five-hour threshold or stale per-minute calculation is retained.
