Best Renewal Quote Software for Multi-Year Service Agreements
A renewal quote should start from what the customer currently owns and what the agreement actually permits. Copying last year’s PDF can miss an added service, preserve an expired discount or apply an uplift twice. For multi-year service agreements, the important purchase is a controlled renewal model—not merely faster document creation.
DealHub, Conga, Salesforce Revenue Management and Oracle CPQ are four documented directions to evaluate. This is a deliberately narrow shortlist: a general quote editor does not qualify simply because its template can contain three years of prices.
Define the renewal before choosing software
Separate the current contracted asset or subscription, the new proposed term, annual price changes, quantity changes and amendments that should share an end date. A multi-year agreement can have one price throughout or different yearly amounts. A renewal may preserve an old price, take a new list price or use a negotiated method. The contract owner must decide which is correct.

| Candidate | Relevant renewal direction | Useful evaluation scenario | Boundary to establish |
|---|---|---|---|
| DealHub | CPQ linked to subscription and billing operations | A multi-year renewal with scheduled commercial changes | Purchased components and source of current subscription terms |
| Conga Advantage CPQ | Creation, modification and renewal of subscriptions | Renew selected eligible assets rather than every line | Exact CPQ product, release and renewal rules |
| Salesforce Revenue Management | Current asset lifecycle and ramp-deal capabilities | Amendment and renewal in a Salesforce-led revenue process | Edition, configuration and legacy-product differences |
| Oracle CPQ | Asset-based ordering with renew operations | Follow-on order from an installed subscription | Asset data quality and connected subscription/billing systems |
DealHub: evaluate the whole commercial handoff
DealHub’s subscription-billing offering describes CPQ-linked subscription operations, multi-year ramps and uplift rules. That is relevant when renewal quoting needs to share commercial information with billing rather than create another disconnected document.
Ask where the current agreement comes from, how a mid-term change affects the next renewal and which component owns the billable result. A unified product description is not proof that your installed billing system is already connected. Demonstrate the actual integration, including an exception requiring human review.
Conga: renew the eligible assets, not every line
Conga Advantage CPQ describes subscription creation, modification and renewal. Its asset-renewal documentation illustrates renewal types and eligibility rules, but that documentation is labelled Preview.
This is a useful candidate when renewal selection depends on existing assets. Confirm the feature in the production release you will purchase; Preview documentation is not proof of generally available entitlement. Also distinguish Advantage CPQ from other Conga CPQ products. A line that renews automatically and an evergreen service should not be treated as identical simply because both continue beyond this year.
Salesforce: keep current and legacy renewal models separate
Salesforce’s current asset-lifecycle documentation sits within Revenue Management, formerly Revenue Cloud. Its ramp-deal considerations address the current revenue product’s configuration boundary.
Investigate this when Salesforce is already the source of commercial records. Ask the implementation team to demonstrate the proposed current edition, rather than reusing old managed-package CPQ renewal settings as evidence. Verify the required licences with the current product pricing information: revenue functionality is not simply included in an ordinary Sales Cloud subscription.
Oracle CPQ: start from the installed commercial record
Oracle’s asset-based ordering documentation includes a renew operation alongside modification and termination of subscription services. Its pricing-engine documentation describes subscription and usage pricing models.
This is relevant where a renewal should follow a known installed base rather than a copied quote. Confirm which system supplies that base and how corrections flow back. A technically valid asset record with the wrong quantity or end date can still produce a commercially wrong renewal. Ask which calculations are standard configuration and which depend on custom implementation.
Use a three-year example with a mid-term change
Take a synthetic agreement with ten service units, a scheduled year-two price increase and an additional two units added halfway through year one. Give one line a negotiated renewal price and another an instruction not to renew. Ask each vendor to generate the next proposed term and explain its dates, quantities and prices.
Then change one source agreement while the renewal awaits approval. The software should make the difference understandable and follow the organisation’s chosen reapproval policy. Require a visible record of the terms approved for the customer, not merely a final total in an editable PDF.
These are evaluation requirements, not a claim that every listed platform delivers the same out-of-the-box workflow. Service entitlements, legal notice and invoice generation remain separate responsibilities even when one vendor sells several components.
Price and selection notes
Compare licences, renewal or subscription modules, integration, migration of historical agreements and ongoing administration. A product can create a renewal quote without automatically knowing the right baseline agreement. Include the cost of getting that baseline right.
For an existing enterprise revenue stack, begin with the candidate that can demonstrate the cleanest continuity from the present contract. For a smaller service business with simple annual terms, a lighter quoting-and-approval process may be sufficient. Do not buy a large asset-based platform merely to avoid changing a date on a document.
Read contract management software for the obligation record and field service management software for work delivery. Neither a renewal quote nor a completed service visit alone proves the other has been authorised.
